CMI is seeking an Executive Assistant to join a passionate and dedicated team. The role reports directly to the CEO and will ideally be based in Sydney, however Melbourne or other locations can be considered. The position is three days per week. CMI supports hybrid and flexible working arrangements.

This role is a unique opportunity to work across the breadth of CMI’s activities and its diverse membership group. The role will directly support the CEO  with company secretariat and organisation management functions. The role will require you to work closely with external and internal stakeholders including the Head of Finance & Organisation Services and Membership & Events team as well as other Executive members.

Selection Criteria: Core responsibilities & experience

The core responsibilities include:

  1. High-level executive support including diary and email management.
  2. Organising travel, flights and accommodation.
  3. Organising and note-taking Board, Executive and relevant CMI member meetings.
  4. Various administration duties including file management.
  5. Prepare documents, presentations, board packs and files as required.
  6. Meeting, event and membership support as required.
  7. Participate in and promote a learning, team-based culture.
  8. General office administrative tasks.
  9. Other tasks as required.

Desirable experience:

  1. At least 3-5 years’ experience as an Executive Assistant
  2. Demonstrated and advanced knowledge of and ability to support and manage Board and other Committee administration processes.
  3. Experience managing diaries, arranging complex travel, organising meetings and noting action items.
  4. Ability to work autonomously and have a proactive approach with exceptional attention to detail, time management skills and ability to prioritise tasks.
  5. Tact and good judgement in confidential situations.
  6. A can-do attitude, excellent communication, planning and organisation skills, the ability to prioritise workloads and navigate conflicting requirements.
  7. Intermediate to advanced skills in MS Office suite, Asana, and BoardEffect Diligent or similar Board software.
